Travel agency software: bringing everything together on a single platformArchitecture

Bookings, hotel contracts, allotments, resellers, cash desk, invoices and website: what travel agency software should bring together, and how FullTravel Pro does it.

A travel agency rarely works with a single tool. Hotel contracts live in spreadsheets, bookings in a file-management system, resellers in email, the cash desk in a notebook and the website with another provider. Good travel agency software brings these building blocks together in one place: the price is calculated once, the stock is held once, and every sale — at the counter, online or through a reseller — feeds the same booking file.

That is the principle behind FullTravel Pro, the platform FullDo designed with SKGenius for travel agencies, between France and Tunisia.

In short: travel agency software should bring together hotel contracts, stock, booking files, resellers, the cash desk, invoicing and the booking website. FullTravel Pro, designed by FullDo and SKGenius, calculates each price only once and sells on every channel from the same stock, from €89 excl. VAT a month.

What the diagram shows

On the left, what the agency buys or produces. On the right, where it sells. In the centre, the four processes that must exist only once.

  • Inputs: direct hotel contracts (seasons, board types, offers, margins), night-by-night allotments with release periods and stop sales, products sold by departure date (tours, excursions, pilgrimages, evening events) and, currently being connected, XML suppliers (bed banks, hotel chains, inbound tour operators).
  • The core: prices and margins, stock and availability, booking files with invoice and voucher, cash desk and accounting.
  • Outputs: the counter and the phone, the agency’s own branded website, the reseller portal, and the area where travellers follow their booking and pay their balance.

Why a single point of entry changes day-to-day work

When every channel has its own tool, three problems always come back.

  • Prices diverge. The rate shown on the website is no longer the one in the contract, because someone forgot to copy it across. In FullTravel Pro, the selling price is calculated from the contract, night by night, with the agency’s margin rules: per hotel, per reseller, per supplier or per channel.
  • Stock gets sold twice. A room sold at the counter remains available online. With a single stock, the same room disappears everywhere as soon as it is taken.
  • Accounting is redone by hand. Payments are entered twice, supplier invoices reconciled in a spreadsheet. Here, every payment is attached to the booking file and to the agent’s cash-desk day, and closing the financial year locks the period.

The modules of complete travel agency software

Role What the screen does
Management Sales and margins by channel, hotel, supplier and agent; alerts when a margin falls below the threshold or an option expires; permissions set action by action.
Counter Search across contracts with purchase price, selling price and margin; quote, option then booking; payment attached to the booking file.
Product Hotel contracts, allotment planning, tours and excursions by departure date.
Accounting Customer and supplier invoices, an eight-week cash-flow forecast, exports for the accountant, year-end closing.
Resellers A B2B portal with net prices, authorised credit, vouchers and account statements; resellers never see purchase prices.
Traveller Online booking on the agency’s website, payment, booking follow-up and voucher.

One website per agency, under its own domain name

Each agency has its own website, in its colours and on its domain, connected directly to its contracts and its stock. The website is available in three languages, with a right-to-left layout for Arabic. It follows the same logic as our websites for tourism businesses, with online booking on top.

Under the bonnet

FullTravel Pro is a multi-agency SaaS application developed in Symfony with a PostgreSQL database: each agency’s data is isolated, access is protected by two-factor authentication, payment secrets are encrypted, and every closed accounting period becomes read-only. Invoices follow the tax rules of the agency’s country; electronic invoicing in the TEIF format is already ready for Tunisia, and other national formats are in preparation.

How much it costs

In France and Europe, FullTravel Pro starts at €89 excl. VAT a month (Essential plan), €169 excl. VAT for the Pro plan with resellers, organised trips and accounting, and €329 excl. VAT for a network of several agencies. Hosting, backups and updates are included. See the full price list.

Frequently asked questions

What is travel agency management software?

It is the tool that manages customer booking files, purchases from hotels and suppliers, room stock, invoicing and payments. The most complete ones add the booking website and the reseller portal, so that every sale goes through the same stock and the same prices.

Can we keep our existing hotel contracts?

Yes. At the start, the agency’s contracts, hotels and resellers are carried over into the platform; the team does not have to re-enter them.

Do resellers see purchase prices?

Never. Each reseller only sees its own net price, calculated with the margin the agency grants.

Do we need to change website?

The agency’s website is included and connects to its current domain name. It replaces the old website, with online booking linked to the real stock.
